Administrative Assistant, John F. Kennedy University, San Jose. This is a part time, hourly non-benefited position for 20 hours per week. The schedule is Monday – Friday (may include Saturday hours). This administrative staff position reports to the Campus Librarian.
The Administrative Assistant supports the day-to-day operations of this satellite campus, and provides administrative support, particularly around creating documents or presentations and first-level troubleshooting for printers, photocopiers, and AV classroom equipment. Additional faculty and/or administrative responsibilities include: maintaining files, updating handbooks and other documents, compiling data, and preparing reports. As needed, this person may also answer phones, schedule appointments, order supplies, report facility issues to property management, mailroom functions, put on academic-related events, and the occasional classroom set up or assistance with basic library circulation functions when necessary for coverage.
This position requires: at least two years of college, familiarity with office procedures and equipment required (i.e. printer, photocopier / scanner, and networked computer), and ability to work within a diverse community and with confidential information in a professional manner. Administrative experience demonstrating excellent organizational, written and oral communications is necessary. An advanced knowledge of MS Word, familiarity with Google Docs, and a proficiency in Excel spreadsheets are also essential. Work experience in an academic environment and familiarity with academic administrative systems and/or an online learning management system (e.g., Blackboard or Canvas) is preferred.
The successful candidate will possess the ability to interact with a diverse constituency professionally and with tact and diplomacy; be able to work on multiple projects in a busy environment with frequent interruptions; provide assistance to students, faculty and staff in a professional manner; and demonstrate excellent organizational skills, written and oral communications.
